Legal email signatures carry weight. They may be treated as official communications in some jurisdictions. Get this right.
Must-have elements
- Full legal name and title (Partner, Associate, Of Counsel)
- Bar admission number and jurisdiction
- Firm name and office address
- Direct phone line (not the firm's main number)
- Confidentiality disclaimer
The disclaimer question
Most law firms include a confidentiality notice. Something like: "This email is intended only for the named recipient. If you received it in error, please delete it and notify the sender." Check your bar association's guidelines. In the EU, you also need a GDPR disclaimer.
Keep the disclaimer in a smaller font size (10px). It should be present but not dominate the signature. Two to three lines maximum.
Real Estate Agents
Real estate is a visual, personal business. Your signature should reflect that.
Must-have elements
- Professional headshot (round or square, see examples)
- Real estate license number (required by law in most US states)
- Brokerage name and logo
- Direct mobile number
- Link to your current listings or property search page
What sets great realtor signatures apart
Add a CTA like "View my listings" or "Free home valuation." Real estate is transactional. Every email is a chance to generate a lead. Include your service area too: "Serving Greater Austin" tells the recipient exactly where you operate.
Some agents add a rotating banner featuring their latest listing. This works well if you update it regularly. A banner showing a property that sold six months ago hurts more than it helps.
Freelancers & Consultants
Freelancers do not have a corporate brand behind them. Your signature IS your brand.
Must-have elements
- Your name and what you do (not a vague title like "Consultant")
- Portfolio or website link
- Timezone (critical for remote work across borders)
- Preferred contact method (some clients will default to phone if you list it)
Availability signals
Adding "Available for new projects" or "Booked until Q3 2026" is a smart move. It creates urgency when you are available and sets expectations when you are not. Update this line monthly.
Skip the long list of services. Your portfolio link should handle that. The signature should answer two questions: "What do you do?" and "How do I hire you?"
Doctors & Healthcare Professionals
Medical signatures need to balance professionalism with regulatory compliance.
Must-have elements
- Full credentials (MD, DO, PhD, board certifications)
- Practice name and department
- Office phone and appointment booking link
- HIPAA notice (US) or GDPR notice (EU): "This email may contain protected health information. If you are not the intended recipient, please notify the sender immediately."
What to avoid
Do not include medical advice in your signature. No "Flu season tip of the week" or health quotes. It may create liability. Keep it clinical and informative.
A booking link is the single most valuable element in a doctor's signature. Patients should be able to schedule an appointment with one click. Link to your online booking system, not a generic "Contact us" page.
Sales Professionals
Your signature is a conversion tool. Every email you send is a chance to move a deal forward.
